Job Description
Summary: Assist Administration with requested daily tasks related to all business operations
Responsibilities/Duties:
• Assists Property Manager with all daily property related tasks; including taking rent payments, calling tenants, writing letters, rental tracking sheets, maintenance repair tracking sheet, showing vacancies, lease renewals & evictions.
• Answer phones and direct calls. This includes taking messages in message book with callers name, phone number and reason for call. Assisting with customer inquiries, orders, complaints, walk in customers, and donation requests.
• Learns and assists as needed Operations Manager with online orders, labels, shipments, and other miscellaneous duties as requested.
• Maintains Vehicle maintenance log & tracking, ensures spreadsheets are kept up to date with information such as insurance, repairs, registration and inspection dues, etc.
• Maintains Property maintenance log & tracking, ensures spreadsheets are kept up to date with information such as insurance, repairs, labor hours, school/property tax information, water/sewer, utilities etc.
• Maintains Property binders with all current information including sales sheets on every apartment for when a vacancy occurs, all current rental information, tenant information, property info, etc.
• Completes duties delegated by Rob Salamida as directed. If not done immediately, keep a written list of tasks Rob has requested you to do and follow up.
• Meet with Operations Manager at the end of scheduled day to discuss what got done from current day and duties for following day.
Education/Training/ Experience: Possession of a high school diploma or equivalent (GED) required. 1 year of relevant experience and/or training, or equivalent combination of education and experience.
Skill(s):
• Good reading, writing, communication and mathematical skills
• Proficient interpersonal relations and communicative skills
• Be detail oriented with good business sense
• Computer Skills/Good knowledge and utilization of all MS Office Programs
• Maintain a good teamwork spirit and attitude while flexible and eager to learn – a “Can Do Attitude”
• Answer phones and direct calls – handles customer inquiries and complaints
• Keeps open communication with all departments
